Postal Certification Module (U.S.)

The Postal Certification module is a fully integrated optional add-on that allows you to perform full postal sorts and other functions on your data within DocForm.

The integrated Postal Certification module provides a complete range of postal sorting and other processes with certified U.S. Post Office data. The core product functions included in this optional module are:

ZIP + 4® Function
ZIP+4® function is a lookup and data entry control for individual addresses. It adds the correct nine-digit ZIP Code™, automatically fills in city and state data based upon ZIP Code entry, aids in the search for duplicates, and standardizes address data using USPS® preferred spellings and abbreviations.

CASS™ Function with DPV™ Feature
CASS certification will help you receive the best postal discounts by verifying that your mailing items fall within an accepted range of addresses. DPV will ensure the deliverability of the mailing before it enters the mail stream by finding its match in the USPS DPV data file.

CASS™ (Coding Accuracy Support System) function is a USPS® certified control that processes an entire batch of addresses and prints USPS Form 3553. It standardizes the address spellings, adds the nine-digit ZIP Code™ plus carrier route, line-of-travel, delivery point and other postal data, and qualifies your mail for the lowest postal rates.
CASS function cleans and standardizes an entire address database. All address spellings and abbreviations are standardized using the latest USPS information.

DPV (verifies accuracy of deliverable addresses) is a standard feature of CASS and is essentially a "yes/no" table for checking the validity of any individual mailing address (over 145 million locations). DPV will enhance your postal certification process by validating addresses to the delivery point level.

By incorporating DPV into your postal certification process you will be able to determine whether the actual address is deliverable by the USPS®. DPV will reduce undeliverable-as-addressed mail volume that results from inaccurate addresses. This helps the mailer avoid higher postage costs while reducing the USPS processing and delivery expenses.

Postal Service™ licensing prohibits using DPV for the generation of addresses or address lists -- this regulation is strictly enforced.
 
 
 
  • A CASS Certified™ list ensures that your mailing will qualify for the lowest possible USPS rates.

PAVE™ Presort Function
PAVE™ (Presort Accuracy, Validation and Evaluation) Presort function will sort your mail for the lowest possible postal rates. In addition to barcoded addresses it also prints barcoded sack and tray tags and all required USPS documentation. First-Class Mail, Standard Mail, and Periodical mailing sorts are included. And, optional Mixed Weight sort is also available.
  • Barcoded labels – Address labels can include the barcode for automation discounts.
  • Prepayment Options – Mailers can use several methods of prepayment including Meters, Pre-cancelled Stamps, or Permit Imprint Indicia.
  • USPS documentation & reports – All of the USPS required documentation is printed as well as a user-friendly Presort report and realistic facsimiles of the Postage Statements (e.g. PS Form 3602, 3541, 3600).
  • Sack/Tray tags – All sack or tray tags for your mailings are printed including barcodes on the tags.
     

Mixed Weight Presorting (Mail Manifesting) Module
The Mixed Weights module allows a mailer to combine mail pieces of varying weights within the same mailing; for example, a multiple-page billing statement. By combining differently weighted mail pieces into a single mailing a mailer is able to more easily reach the minimum requirements for sortation discounts.

Geocoding Module
The Geocode module provides location data based upon the latitude and longitude files, and accepts 3- to 9-digit zip codes as input. Geocode links your postal addresses with US geographical data which can help you plan, route, distribute, and administer your business and customer services more effectively. You can build queries, such as radius search, based on distance/location, and determine grid references matched to specific addresses.

NCOA™ Link Module
The NCOALink module for NCOA™ (National Change of Address) processing works via the Internet and verifies the addresses in your current database by matching your mailing list against the change of addresses that are on file with the USPS. NCOALink helps you avoid the delays of the regular USPS mail-forwarding process and increases your overall address quality by verifying your database with current addresses. NCOALink also reduces cost as it is a pre-mailing method that helps the mailer save on postage and production cost that are incurred using post-mailing services like Address Change Service or Ancillary Service Endorsement.

Every year the Postal Service™ handles over 44 million Change-of-Address requests from individuals, families, and businesses. In approximately 84 percent of these cases there exists valid forwardable information for that record. NCOALink contains the previous 48 months worth of move data significantly increasing the chances that your mail piece is delivered to the correct address. And, your important contact information is also kept up-to-date. You also fulfill the USPS First-Class Mail Move Update requirement which mandates that the mailer must update their mailing list within 185 days before the mailing date.

NCOALink works directly from inside DocForm avoiding error-prone imports and exports. Once it’s installed you simply use your Internet connection to update your address files. Your transmitted list is first CASS™ certified and then processed using the latest USPS NCOALink™ database which is updated weekly. NCOALink processing verifies individual, family, and business Change-of-Address data maintained by the USPS.
  • More records – 48 months of move data is provided rather than the usual 18 months from other providers.

System Requirements

A current and Prism-supported version of DocForm with a fully paid and active maintenance and support plan.

Windows 2000/XP/Vista; Intel Pentium IV 2GHz or greater; 1GB RAM or greater; 3GB of free hard disk space on the primary partition; a DVD drive.

The Postal Certification module is licensed in 12 month increments and requires an annual renewal.

During the active yearly period address updates are provided every 2 months on a DVD.

All address updates are provided by a data source that is actively certified by the USPS.

The NCOA™ Link, Geocode™, and Mixed Weight™ are licensed separately and are not part of the core Postal Certification module.

Prism Software is not responsible for the accuracy of the address data provided and makes no warranty as to its accuracy beyond that it is provided by a USPS certified data source. A separate licensing agreement for use of the Postal Certification module shall be required at time of purchase.
